FACULTY APPLICANT SURVEY TRACKING (FAST)

OVERVIEW OF DEPARTMENT and SCHOOL RESPONSIBILITIES
1. Initiating the Search Process for a Professor
Department Dean's Office
  • Department receives FTE from Dean for designated position
  • In consultation with Equity Advisor, Department selects search committee, writes advertisement, views faculty availability data and decides in which journals to advertise
  • Department completes transmittal form (UCI-AP-80a, "Search Plan and Advertisement for Regular Ranks Faculty (FTE) Position"), which provides information for the applicant tracking system, including PhD degree areas sought (National Opinion Research Council and AAMC Survey data) and a copy of the relevant availability data
  • Department routes form and ad to Dean's Office for approval
 
  • Dean and Equity Advisor review and approve ad and search plan
  • Dean's Office routes form to AP for audit
  • Dean's Office receives OK to proceed from AP

 

2. Collecting Applications and Applicant Tracking Data
Department Dean's Office
  • Department receives approved ad from Dean's Office and places ad in appropriate advertising venues
  • Department pursues additional search methods as decided upon by Search Committee, in consultation with Equity Advisor and OEOD
  • Department enters recruitment into FAST and receives email notification with URL for responses
  • Department receives applications and c.v.'s from applicants
  • Department sends FAST URL to each applicant in email/letter acknowledging receipt of application (sample acknowledgement letter, preview of online Academic Applicant Data Request form that applicant will access on the web)
  • Department collects applications, and enters number of applicants into FAST for statistical purposes
  • Search Committee is encouraged to assess applicant pool in FAST periodically during the recruitment
  • After closing date of ad has passed, Department receives email notification from FAST asking for the total number of applications received by the Department
  • Department generates and prints final Academic Recruitment Analysis Report from FAST and provides copies to the search committee and the Dean's Office

  • Equity Advisor consults with Search Committee as search progresses

 

3. Analyzing the Applicant Pool and Selecting Candidates for Campus Visits
Department and Dean's Office
  • When Search Committee has determined that applicant pool composition is appropriate, Department decides on short list of candidates to be invited to campus for interviews
  • Department completes Interim Search Activities Statement (Form UCI-AP-80b), with information about applicant pool and short list of candidates
  • Department Chair, Equity Advisor, and Dean reviewInterim Search Activities Statement, along with CVs of short-listed candidates, before candidates are invited for interview

 

4. Conducting Campus Interviews and Selecting the Final Candidate
Department and Dean's Office
  • Department conducts campus interviews with the candidates
  • Candidates may also be interviewed by the Dean
  • After completing the campus interviews, the Department evaluates all candidates who were seriously considered and decides on a final candidate

5. Final Reporting on the Search Process
Department and Dean's Office
  • Department completes Search Activities Statement (Form UCI-AP-80c) with information about the final candidate ranking and selection process
  • Dean reviews Search Statement and certifies search by signing the statement BEFORE a tentative offer is made to the candidate
  • Completed Search Activities Statement is forwarded to Academic Personnel along with the appointment dossier
